VIP-Polymers Ltd (hereafter referred to as “the Company”) take your privacy seriously and are fully committed to handling the information we collect from you in a secure and responsible manner that adheres to the guidelines published in the United Data Protection Act 1998 and the General Data Protection Regulation (EU) 2016/679, which is applicable from the 25th May 2018.

We Collect Information in a Number of Ways

Completing an Account Form

When an account is opened with the Company, we will collect the data that is necessary to honour our Terms and Conditions, which includes general company details, address(es) and delivery address(es) bank details, and contact details of the people with whom the Company need to communicate with in order to do business (for example, accounts, purchasing contacts etc).

Via Email or a Contact Form on Our Website(s)

The Company use any information submitted to assist you in answering any questions or queries that you may have submitted or provide you with further information about the products / services we offer.

Social Media

If you have linked with the Company on any of our social media accounts, we may receive information including your name, profile picture, age range, language, email address and friend list.

Exhibitions

During exhibitions or trade shows, the Company collects information from visitors to the stand. The information provided will be used to assist you in answering any questions or queries you may have or provide you with further information about the products / services offered by the Company.

Third Parties

Some information we acquire may be collected by third party providers on our behalf in compliance with this Privacy Policy, for example a buying group with multiple members who has opened an account with us.

Online Tracking

The Company track your movements on our websites to analyse trends and interest in our products and services, administer the sites and gather information in order to improve how they work. How We Use Your Information

To Provide and Maintain a Service

Using the information we collect, we are able to deliver the products and services to you and honour our Terms and Conditions contract with you. For example, we need to use your information to fulfil orders that are placed.

We use your information when needed to send you service notifications and respond to you when you contact us either directly or through a third party service provider.

Job Applicant Privacy Notice

As part of any recruitment process, VIP-Polymers Ltd. (hereafter referred to as “the Company”) collects and processes personal data relating to job applicants. The Company is committed to being transparent about how we collect and use that data and how we meet our obligations under the General Data Protection Regulations and other similar compliance requirements.

What Information Does The Company Collect?

The Company collects a range of information about you. This includes your:-

  • Name;
  • Address;
  • Contact details (including email address and telephone number);
  • Qualifications, skills, experience;
  • Employment history;
  • Current level of remuneration, including benefit entitlements;
  • Whether or not you have a disability or other special circumstances for which the Company needs to make reasonable adjustments during the recruitment process;
  • Entitlement to work in the UK.

The Company may collect this information in a variety of ways, from:-

Why Does VIP-Polymers Process Personal Data?

The Company needs to process data in order to establish the necessary information required to facilitate the recruitment process. We may also need to process your data to enter into a contract with you.

In some cases, the Company needs to process data to ensure that we are complying with our legal and other obligations. For example, we are required to check a successful applicant’s eligibility to work in the UK before employment commences.

The Company has a legitimate interest in processing personal data during the recruitment process and for keeping records of the process. Processing data from job applicants allows the Company to manage the recruitment process, assess and confirm a candidate’s suitability for employment and decide to whom to offer a job. The Company may also need to process data from job applicants to respond to and defend against legal claims.

The Company may process special categories of data, such as information about ethnic origin, sexual orientation or religion or belief, to monitor recruitment statistics.
We may also collect information about whether or not applicants have special circumstances, such as a disability, in case there are reasonable adjustments that can be made for that candidate. The Company processes such information to carry out its obligations and exercise specific rights in relation to employment.

For some roles, the Company is obliged to seek information about criminal convictions and offences. Where the Company seeks this information, we do so because it is necessary for us to carry out our obligations and exercise specific rights in relation to employment.

The Company will not use your data for any purpose other than the recruitment exercise for which you have applied, unless by explicit agreement with yourself.

Retention of Information About Candidates Who Have Been Unsuccessful

If your application is unsuccessful, the Company may keep your personal data on file in case there are future employment opportunities for which you may be suited. The Company will ask for your consent before it keeps your data for this purpose and you are free to withdraw your consent at any time.

Who Has Access To Data?

Your information may be shared internally for the purposes of the recruitment exercise. This includes interviewers involved in the recruitment process, managers in the business area with a vacancy and IT staff if access to the data is necessary for the performance of their roles.

The Company will not share your data with third parties, unless your application for employment is successful and it makes you an offer of employment. The Company will then share your data with:-

  • Former employers to obtain references for you;
  • Employment background check providers to obtain necessary background checks;
  • The Disclosure and Barring Service to obtain necessary criminal records checks.

Personal information may also be shared with the Company’s Occupational Health Advisors to ascertain medical fitness for the job on offer

The Company will not transfer your data outside the European Economic Area, unless by explicit agreement with yourself.

How Does The Company Protect Data?

The Company takes the security of your data seriously. We have internal policies and controls in place to ensure that your data is not lost, accidentally destroyed, misused or disclosed, and is not accessed except by our employees in the proper performance of their duties. All application forms, c.v.’s, interview notes and test results will be returned to the Personnel Office at the end of the recruitment process for safe storage – see the section headed How Long Will VIP-Polymers Keep Data.

How Long Will VIP-Polymers Keep Data?

If your application for employment is unsuccessful, the Company will hold your data on file for six months after the end of the relevant recruitment process.

If you agree to allow the Company to keep your personal data on file, we will hold your data for a further three months for consideration for future employment opportunities. At the end of that period, or once you withdraw your consent, your data will be deleted or destroyed.

If your application for employment is successful, personal data gathered during the recruitment process will be transferred to your personnel file and retained during your employment. The periods for which your data will be held are detailed in our Employee Privacy Notice, a copy of which will be issued to you during the Induction process.

Your Rights

As a data subject, you have a number of rights. You can:-

  • access and obtain a copy of your data on request;
  • require the Company to change incorrect or incomplete data;
  • require the Company to delete or stop processing your data, for example where the data is no longer necessary for the purposes of processing;
  • object to the processing of your data where the Company is relying on its legitimate interests as the legal ground for processing.

If An Applicant Chooses to Withhold Personal Data?

You are under no statutory or contractual obligation to provide personal data to the Company during the recruitment process. However, if you do not provide the information, the Company may not be able to fully process your application.

Automated Decision-Making

Our recruitment processes are not based solely on automated decision-making. However, it may be necessary during some recruitment campaigns to use automated decision making through a third party using a web based application system. This process will use “questions” for the purposes of filtering out candidates who do not possess the required level of qualification/experience in certain fields. This does not mean that those candidates who fail the automated decision making will essentially be debarred from the shortlisting process.

You have the right to access information about the reasoning behind any decision taken by automated means and can request in writing, that the Company does not take any automated decisions using your personal data.

You further have the right to request that the Company reconsiders a decision taken by automated means.
